EMPLOYMENT RELATIONSHIP: Just cause subject to probationary period

CURRENT HOURS AND STARTING TIME: Full time position (37.5 hours per week). The starting time for this position is currently 8:00 a.m.

JOB SUMMARY:

Under supervision, enters data from source documents on a terminal keyboard; verifies the accuracy of data entered; types letters, reports, forms and other correspondence; sorts and distributes mail; provides telephone coverage, answering questions appropriate to skill level; operates standard office equipment such as typewriters, personal computers, word processors, facsimile machines, copiers, calculators, adding machines and microfiche equipment; performs related duties as assigned.Essential Functions and Responsibilities


Enters, stores and retrieves data from source documents on a terminal keyboard.

Proofreads and verifies the accuracy of data entered.

May verify source document information to be entered.

Types a variety of materials including letters, reports, forms and other correspondence.

Assists others in determining needs and explains office regulations, policies and procedures and/or provides information.

Bends, stoops and reaches in order to file, search for and retrieve records and documents.

Provides telephone coverage, answering questions appropriate to skill level; relays messages to appropriate individuals or departments.

Routes, reports, data, information to proper persons, departments and/or files.

Separates, sorts and stuffs envelopes for mailing or distribution.

Operates standard office equipment such as typewriters, personal computers, word processors, facsimile machines, copiers, calculators, adding machines and microfiche equipment.

Operates an automobile for authorized travel.Knowledge, Skills and Abilities


QUALIFICATIONS (Education and Experience):

REQUIRED:

Possession of a high school diploma or a certificate of successful completion of the General Educational Development Test, preferably supplemented with college courses in data or word processing.

A minimum of one (1) year of clerical experience involving word processing or data entry.

PREFERRED:

Previous Michigan Child Support Enforcement System (MiCSES) experience.

Previous OnBase Document Imaging System experience.

Previous Microsoft Word and Excel experience.

SKILLS AND SPECIFICATIONS:

Knowledge of office terminology, procedures and equipment.

Knowledge of MiCSES.

Knowledge of the OnBase Document Imaging System.

Knowledge of Windows, Word and Excel.

Knowledge of personal computer/data processing commands and terminology.

Ability to maintain clerical records and prepare reports from such records.

Ability to make mathematical computations rapidly and accurately.

Ability to understand and follow written and oral directions.

Ability to make decisions in accordance with laws, regulations and established policies and procedures.

Ability to effectively speak, write and understand the English language.

Ability to speak and understand a language other than English is preferred.

Ability to establish and maintain effective working relationships with elected officials,
Administrators, Department Heads, staff, union officials and the public.

Ability to conduct oneself with tact and courtesy.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Frequently required to sit or stand when completing job related tasks.

Seeing/vision, talking/speaking and listening/hearing are continuously required.

Manual dexterity, grasping and regular fine-finger and hand/wrist motions are occasionally required for operating a keyboard, writing and filing, etc.

The noise level in the work environment is typical of that of an office with frequent contact with customers.

May encounter frequent interruptions throughout the workday.

May be exposed to irate or aggressive clients.

Occasionally bends, stoops and reaches in order to file, search for and retrieve records and documents.

Occasionally required to drive a motor powered vehicle.

Occasionally required to walk when completing job related tasks.

Occasionally lifts, moves and carries equipment and supplies that weigh up to ten (10) pounds.

Rarely required to balance, kneel, squat, push or pull when completing job related tasks.
