Position Summary:
We have an exciting opportunity to join our team as a Program Assistant. Under the direction of the Program Manager of the Violet Society Program, the Program Assistant will provide comprehensive administrative, financial, and event management support to three programs within the Office of Student Affairs. The Violet Society Program, Global Health Initiatives, and the Master Scholars Program in Humanistic Medicine offer co-curricular opportunities in medical humanities, global health, and personal and professional development. The Program Assistant is responsible for logistics and coordination of assigned programs, under the guidance of relevant programmatic leadership. They will schedule and manage various events for these three programs, including tracking registration, attendance, and day-of logistics. They will manage multiple databases, such as distribution lists, rosters, and programs evaluations, and will maintain accurate program records. They will assist with financial administration, including submitting reimbursements, check requests, honoraria, purchase orders, IOIs, and setting up new vendors. This job may interface with faculty, staff, and students across multiple departments throughout NYU Langone Health.

Job Responsibilities:
Provide comprehensive administrative, financial, and event management support to three programs within the Office of Student Affairs. Responsible for logistics and coordination of assigned programs, under the guidance of relevant programmatic leadership.
Schedule and assist wit various events for these three programs, including tracking registration, attendance, and day-of logistics.
Assist with financial administration, including submitting reimbursements, check requests, honoraria, purchase orders, IOIs, and setting up new vendors.
Interface with faculty, staff, and students across multiple departments throughout NYU Langone Health.

Minimum Qualifications:
To qualify you must have a High School Diploma. Minimum of 1 year related experience in an office setting or the equivalent combination of education and experience. Effective Oral, written communication and interpersonal skills. Working knowledge in the use of Microsoft Office Word, Excel, and Power point. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft.
Ability to type at a speed of at least 45 net words per minutes. Knowledge of standard office practices. Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.
