Job Description

The Order Management Coordinator is a self starter who will be responsible for all inbound/outbound shipments for multiple business models. Interface with customers to handle inquiries on product availability and quotes, coordinate order management with internal departments and provide general assistance to the organization. This role highlights the ability to handle multiple tasks in a fast paced environment and handle multiple facets of the business.

Principal Responsibilities

Order Management / Data Entry
Prepare Daily Order Drops for multiple retailers & Supply Chain businesses
Update latest inventory position and allocate inventory to each retailers
Retrieve manual PO from the customer portal, validate and input into ERP
Always get accessibility to tracking number to reply to customers timely
Participate in weekly phone calls with 3PL to review performance and discuss improvement action plan
Generate Daily Sales Tracking reports
Monitor 3PL out-going shipment, stay on track of shipment status, and be able to reply to customer’s inquiries
Create multiple order trackers and maintain them on a daily and weekly basis to ensure every function of the business has the most up to date information. Being able to handle intricate and complex excel files and perform V-lookups on a daily basis.
Able to perform general order management functions such as Purchase Order creation, Sales Order Creation, and Sales order Invoicing. In addition, creating SKUs and cost sheets in our internal system and managing a product list by category
Managing and sifting through 4 different order trackers to create an all encompassing team order tracker and have full ownership of it
Navigates multiple data sources to compile information needed for crucial business decisions

Allocation / Warehouse Distribution
Validate incoming Sales Order via EDI, amend price when necessary
Perform inventory allocation to each Sales Order, then drop orders to each 3PL locations
Track hundreds of containers on a monthly basis and give real-time updates to multiple business functions in a weekly order tracker. Cross-partnering with our logistics company and overseas production teams to ensure our orders shipped in a timely manner and to give updates to our sales team on product issues.
Create and cost new SKUs and handle the dynamic supply chain charges such as demurrage, detention, drayage, tariffs, and duties.

Manage the operations for multiple customers and being able to effectively communicate Purchase order Changes to upper management on a daily basis.
Understand and calculate gross and net product margins, brand royalties, and input costs.

Qualifications

Relevant experience in order management (eCommerce experience preferred)
Detail oriented with excellent MS Excel skills
Be able to work flexible hours (including early morning start and weekend work)
Familiarity with International Shipping
Strong multi-tasking skills
Understands warehousing, inventory turnover, bracket costs, labor costs, and the different business model we execute with our main customer
Quick learner of digital tools such as Powerpoint, Power BI, and Microsoft Dynamics
Have the ability to create presentations and orderly reports on an ad-hoc basis
