Overview
Key Purpose of Position:
Medical Receptionist is responsible for:
RECEPTION
· To greet patients and other callers at the hospital in a courteous and efficient manner
· To answer the telephone promptly and courteously
· To make follow-up phone calls to patients after set procedures
· To issue patients invoices/receipts after their procedure
· To enter and update patient registrations and patients notes in the computer
· To deal with medical and nursing staff courteously and helpfully
· To deal with emergencies when necessary, following set procedures
· Attend to account queries if possible or refer them to DON
· To exercise confidentiality in regard to patient care and all aspects of the practice
· Maintain reception area in a tidy and welcoming manner
· Ensure patients are not required to wait excessive period of time for an appointment, and that patients are informer of possible delays
· Assist doctors and nurses by making phone calls, photocopying etc.
· Check and handle internal emails
ADMINISTRATION
· Preparing and recording outgoing mail and posting daily
· Open and distribute incoming mail
· Prepare patient histories
· Scanning and/or filing patient correspondence, results etc.
· Maintain patient information, updating current information and archiving
· ICD coding of procedures
OTHER DUTIES
- To actively participate in general staff meetings
- To attend training session in-house and external courses when required
- General housekeeping such as tidying and cleaning of waiting room etc. when necessary
- Vacuuming and cleaning when necessary
- To wipe the surfaces of the reception desk at the end of each shift and take the rubbish out
- To undertake other duties as required from time to time by DON and medical staff
- Knowledge of occupational health and safety principles including infection control
- Check suggestion box and restock suggestion forms
- Consistently be aware of OHS requirements and comply with them
- Be aware of HSQH standards
- To switch off the lights and heater, and close curtains at the end of each shift
- To put the alarm on at the end of each shift
- To help put laundry away when needed

Education, Qualification and Experience
ESSENTIAL
- Basic knowledge of MS Word and Excel
- Minimum of one year’s experience in medical receptionist role
DESIRABLE
- Training or/and experience in management of emergencies, handling complaints, Medicare and health funds, basic infection control, safe handling & disposal of medical waste, etc.
Quality and Safety
- Complete internal audits to identify breakdowns in procedures, risks and compliance to Quality Management System and for continual improvement.
- Assist in the maintenance of the Quality Management System
- Report safety & quality incidents
- Compliance with the NSQHS
- Assist with patient feedback and consumer participation.
