We have an exciting opportunity to join our team as a HR Associate.
In this role, the successful candidate is responsible for providing support services to the Talent Acquisition team, to include posting positions, sourcing and screening candidates, obtaining references, verifying education and credentials, onboarding new hires and preparing new hire accessions. Also provides support with our ATS system to include updating candidate status, schedule interviews, input of new hire information and reporting (in tandem with the Talent Acquisition Team).
“Responds to emails/voicemails within 24 hours of receipt. Alerts internal/external customers of scheduled absences and contingency plans. Manages out of office greeting with guidelines set and voicemail as well. Takes ownership of customer concerns and becomes primary point of contact until issues are resolved. Smiles in both face to face and telephone interactions. Maintains confidentiality of new hire/employee information at all times.
Takes pre-cautions to place confidential information out of sight. Maintains neat and professional workspace. Ends client interactions positively (i.e. asks “Is there anything else I can help you with today?”). Commits to learning about different areas to broaden knowledge base. Provides clear timelines to customers for issue resolution or commits to providing a timeline if one is not known. Identifies him/herself clearly in all communications”
Provides support to the Talent Acquisition Specialists by posting positions, sourcing candidates, screening resumes and candidates, and scheduling interviews. Utilizes SmartPost and various job boards to post positions. Navigate job boards and conduct searches to locate top talent for the Talent Acquisition team, and conduct phone screens of potential candidates. Schedules pre-employment appointment within 3 business days of offer acceptance
Provides backup support to front desk representatives. Greets visitors in a courteous manner. Handles problem situations and difficult applicants/visitors in a professional manner and asks for intervention from senior staff as needed. Explains recruitment related policies and procedures as needed. Distributes pre- employment forms and instructs applicants on their proper completion. Reviews all forms for completeness. Notifies the Talent Acquisition staff with updates on arrival of applicant and status of the applicant as he/she completes all necessary paperwork/tests. Administers skills assessment tests and reviews with the Talent Acquisition Specialist. Maintains an accurate and neat applicant log with all pertinent information needed. Accepts Steps for Success applications and explains policies and procedures in a clear and efficient manner. Distributes faxes via email at regular intervals during the day.
Oversees the recruitment process including sourcing, screening, credentialing and verifying that candidates meet education/experience requirements for those candidates referred/pre-selected by department.
Provides clear and accurate information regarding NYU Langone policies, benefits and job requirements to applicants. Interacts with other HR sections to resolve problems related to the hiring function. Meets established goals. (contacting referred applicants within 24 hours, etc)
Handles the onboarding of new hires which includes review of paperwork and entry into PeopleSoft and Silkroad Onboarding, processing background checks, and form I-9 plus all related items. Ensures that New Hire Background Check is completed and clear prior to start date. Ensures the completion of the E- form I-9 according to internal and federal guidelines. Ensures that relevant identity, orientation and job data is accurately entered into PeopleSoft and Silkroad Onboarding. Ensures that New Hire ID badge photos are taken and uploaded into PeopleSoft. Ensures that clearances from employee health services are received. Verifies that all other forms are completed as needed. Ensures that all new hire paperwork is completed in a timely manner.
Supports the Steps for Success Program by entering the postings weekly on intranet/internet, and preparing the posting for the various units of NYU Langone. Also, posts all union positions with the 1199 Employment Center. Updates job listings on the NYU Langone Health website and related sites in a timely manner. Creates Various job postings on niche sites. Assist in scheduling interviews and physical appointments for the potential new hires. Performs other special projects as needed.
Participates in job fairs, outreach events and open houses by registering staff and attends fairs to support the Talent Acquisition Specialists at the events. Assists with recruitment calendar maintenance. Participates in preparation and attendance of job fairs and open houses as needed
Prepares new hire accessions, organizes and reviews paperwork and then also enters information into PeopleSoft and Silkroad Onboarding. Ensures that New Hire ID badge photos are taken and uploaded into PeopleSoft. Ensures that clearances from. Reviews accession packet to ensure all pertinent information is included and accurate. Interacts with other areas as needed to obtain missing information including; Updates, education, licensure and language skills into the system. Completes and sends out employment references
Closes requisition and any associated postings in system upon completion of accession process. Consistently receives positive results/feedback from Managers survey. Ensures accessions are delivered to Compensation in accordance with deadlines. Enters DOB and SSN in eligibility section, enters reference feedback in reference section; enters offer acceptance, amount and hire date Attaches electronic checklist and ensures applicable items are checked off.
Demonstrates reliability by maintaining a good attendance/punctuality record. Adheres to department guidelines regarding use of and proper notification in connection with time off. To qualify you must have a Minimum Qualifications: Bachelors Degree and a minimum of two years administrative or human resources experience or an equivalent combination of education and experience. Typing 40 wpm and proficiency in MS Word. Excellent communication and interpersonal skills essential.
