The Role

The purpose of the role and your unique contribution is to provide efficient and effective administrative support and coordination for the Executive General Managers, ensuring the ways of working are optimised by working closely with leadership, making a difference and collaborating with the Business Support Services.

Leading a team of assistants to deliver superior support service through their unique value add. For your role to make a difference, you will be well organised, flexible, thorough and self-motivated, have the ability to work with minimal supervision, exhibit expert levels of written and verbal communication skills and demonstrate continuous attention to detail.

The role is accountable for building strong relationships within the immediate and senior executive team, across the broader IAG business, and with External Stakeholders. You will also have the opportunity to develop your capabilities and skills so that they can be utilised more broadly within Technology & Operations and IAG.

Key Responsibilities

Diary management for the Executive General Manager and meeting/event coordination and logistics, including managing e-mail inbox.
Coordinate and manage travel arrangements for the Executive General Manager.
Assist Executive General Manager to maintain relevant files and documentation.
Manage the preparation, collation and distribution of reports and presentations.
Process all Executive General Manager’s credit card expenses and invoices in a timely manner.
Assist with recruitment, onboarding and offboarding for the Executive General Manager’s leadership team.
Develop the capabilities and performance of your Assistant team members.
Deliver on process and continuous improvements with the assistance of your team.
People authority – Number of direct reports 2-5, Cross Tasman Leadership

Skills & Experience

Excellent computer literacy and Advanced Microsoft Office skills.
Excellent written and verbal communication skills.
High level attention to detail.
Ability to work autonomously and use initiative to drive success.
Strong time management and organisational skills.
Self awareness and discretion.
Understanding of working in a commercially sensitive environment.
Proficiency to work with a high level of confidentiality.
