As Executive Assistant to the On Premise Sales Director and member of the On Premise Senior Leadership Team (ONP SLT), your respective and collaborative responsibilities will be to lead, motivate, inspire, encourage and maintain a strong, healthy culture internally, as well as drive our brand presence in the On Premise world. You will support and manage the priorities of the On Premise Sales Director, as well as provide support to the National On Premise Team of appx 35 employees. This is a 12-month parental leave contract, to begin beginning of June.
SUPPORT TO ON PREMISE SALES DIRECTOR
Provide assistance to the On Premise Sales Director (SD) in all areas of personal administration, including preparation and editing of confidential correspondence, reports, documents, meeting minutes, presentations including typing from notes and written documentsManage flow of incoming and outgoing communication via mail, phone, email and/or internal networking platformsManage the SD’s diary, scheduling of appointments and meetingsArrange room, car parking, catering and equipment bookings for client and internal meetings as requestedCoordinate travel and accommodation arrangements including flight details, hotel bookings and itineraries for the SD and accompanying guestsLiaise with all business functions with collaborative working relationship expected with other assistants and EA’sProcess all related expenses and departments on behalf of the SDAd-hoc analytical reporting of key sales reports as required by the SDEnsure the ONP SLT is operating effectively, via management of key meeting schedules and synchronisation and generally ensuring the high priority business needs are properly covered, minuted and distributedAct as a key lead and support for the state sales administration function
OFFICE SERVICES MANAGEMENT
Cover reception during lunch, once per week when rosteredManage some office duties that involve the sales functions or key company eventsSupport the National On Premise team in relation to management of customer services, stationery and business card ordering, cleaning, invoice processing and incoming and outgoing mail
CONFERENCING, EVENTS, AND TRAINING
Work with the SD and ONP SLT to ensure the the vision for annual meetings and events is delivered in a timely, efficient and inspirational annual basis which includeWork (where required) with other business assistants to ensure full logistics of the event is successfully executed including all flights and accommodation, conference facilities and internal communicationsWork with the EA to the Managing Director to coordinate some ALT events and offsite meetings and trainingPlay a key role in the relationship with travel partner (and other partners that may arise) that deliver the required travel and indirect spending efficiency

Prior EA or PA experience
Some event management experience and budget management experience essential
Experience within a fast-paced working environment handling multiple deliverables and priorities
Excellent oral/written communication skills and excellent listening skills
Professionalism and maturity to handle situations with confidentiality
Ability to work autonomously with minimal supervision, and proactively take the initiative
Advanced experience with Microsoft Office programs including Outlook, Word, PowerPoint, and Teams
Strong multi-tasking and organisational skills
Team player in multi-cultural environment with very good interpersonal skills
An adaptive style that may require urgency when needed
Resourceful and informed of what is happening within the business
