Reporting to the Chief Operating Officer, you will provide executive assistant support to the COO, as well as other C-suite executives as needed. This includes managing calendars, making travel arrangements, preparing expense reports and contributing to the efficiency of our business by providing personalized and timely support to executive team members.
This role will be based in our New York office after it is safe to return.
Specifically, you will:
Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive’s behalf.
Act as the point of contact among executives, employees, clients, and other external partners.
Build and continue to develop strong relationships across the organization at every level.
Gain a strong understanding of the business, working closely with Operations, IT and People to anticipate needs and follow up.
Identify areas for improved efficiency and effectiveness and lead improvement ideas.
Manage executive calendars and schedule meetings.
Make travel and accommodation arrangements.
Take minutes during meetings.
Track follow-ups and hold others accountable to deadlines.
8-10+ years of progressive experience supporting C-Level executives preferably in a Financial Services or Technology industry.
Excellent project management, and organizational skills to manage multiple priorities in a fast-paced, high volume environment.
Self-starter mentality with a roll-up the sleeves and get things done mindset and a drive to make a direct, tangible impact in a rapidly growing company.
Creative thinker who effectively blends creative competence with practical ideas and solutions.
Exceptional communicator, verbally and in writing, with employees of all levels, clients, board members.
Demonstrated experience with discretion and confidentiality.
Strong knowledge of technology including MS Office (Word, PowerPoint, Excel).
Strong problem-solving and decision-making aptitude, innovative, flexible, and consultative; strong sense of urgency.
Ability to listen and use critical thinking to assess the needs and communicate accurate information concerning process, plans and procedures in a collaborative, team-based manner.
Detail-oriented, accountable, proven ability to track, prioritize and drive to success multiple concurrent projects.
