Executive Assistant
Site: Melbourne, VIC
Reporting to: Chief Commercial Officer

As the Executive Assistant to the Chief Executive Officer (CEO) and Chief Commercial Officer (CCO) this position provides high level executive and personal support to two busy executives with extensive travel obligations and administrative support. You will be a proactive problem solver with exceptional communication and organizational skills and a meticulous attention to detail. You will be supporting by organizing and maintaining their schedules and assisting them by performing a variety of tasks across both personal and business areas. The ideal person is highly self-motivated, professional and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

Key responsibilities include:
Manage business and personal schedules of the CEO and CCO, including agendas, calendars, calls, travel arrangements, payments of invoices and other items as directed
Extensive calendar management, schedule of meetings and manage travel itineraries
Maintain professional and strict confidentiality with all materials and exercise discretion when interfacing with the business
Act as the point of contact between the executives (CEO/CCO) and internal and external people
Precise note and minute recording for meetings when required
Maintain and refine internal processes that support the CEO and CCO across both business and personal tasks
Develop and sustain a level of professionalism among staff and clientele
Preparation of internal and external corporate documents
Organise and plan events as required
Office setups and fit outs for expanding sites
Provide support on any tasks required across both a business and personal capacity
Greet and welcome guests of CEO/CCO as soon as they arrive at the office
Preparation of coffees/teas for meetings
Assistance with recruitment for direct roles for the CEO/CCO, placing ads, sorting of CV’s, scheduling interviews
Arrange catering for meetings and events
Other personal and business tasks as requested


Send, receive and sort daily mail and deliveries
Maintain register of car parks and swipe cards and other keys
Communicate with building maintenance in relation to maintenance of office facilities
Booking & Maintenance of meeting rooms at Queens Rd
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Maintain a clean and tidy office environment including but not limited to:
Common Areas / Meeting rooms
Management of stationary, stock and storage room
Answer, screen and forward incoming phone calls
Organisation of gifts for Clients/Staff when required
Workplace announcements/notices eg. Birthdays, events, updates etc

5+ years’ experience as an Executive Assistant, Personal Assistant or similar role
High level of organisation, punctual and time management skills
Excellent verbal and written communication skills
Discretion and confidentiality
Ability to manage multiple tasks at once and prioritize accordingly
Well-presented and friendly manner
Potential overseas and interstate travel to the Companies contact centre locations and client premises is required at short notice
