Within delegated authority, the Administrative Assistant will be responsible for the following duties:
Human Resources Management
- Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit’s human resource activities, e.g., analyzing, executing and approving actions for on-boarding, movements, contract renewals and separations of staff members, danger pay, rest and recuperation travel, home leave, family visit travel, sick leave and other entitlements, using the Umoja ERP solution, as applicable, ensuring consistency in the application of UN Staff Rules and procedures.
- Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems.
- Generates and reviews necessary HR reports through Umoja.
- Conducts reference and background verification for rostered and selected candidates as part of the recruitment process.
- Prepares written responses to queries concerning HR-related matters providing information and advice to staff regarding their entitlements, administrative procedures, processes and practices, conditions of service, duties and responsibilities, and entitlements under the UN Staff Rules and Regulations.
- Maintains HR related automated systems and applications, including databases containing HR related statistics and prepares periodic reports.
- Drafts routine correspondence in respect to relevant administrative, personnel and travel related matters.
- Maintains files of rules, regulations, administrative instructions and other related documentation.
- Maintains up-to-date work unit files (electronic).
- Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.
- Assists with the exit interviews and final arrangements for separating staff.
- Provides administrative support functions to the Executive Officer as necessary.
- Performs other related administrative duties, as required.
- Assists with the administration and monitoring of contracts for UNDSS staff.
- Coordinates with UN Visa Section to assist staff in obtaining visas, laissez-passer, family certificates, security clearances, etc. relating to their official travel.
- Processes the payment of contractors’ invoices and monitor payments.
- Prepares and processes all UN forms and permissions for contractual and work Unit, Section or Service UN staff, including UN grounds passes, property passes, UN parking permits, swipe-card access and door keys.

High school diploma or equivalent.
A minimum of five (5) years of experience in administrative services, finance, accounting, audit, human resources or related area is required.
Experience working with an integrated information management system for staff administration such as Umoja or similar ERP system is desirable.
Experience in the management and administration of employee records is desirable.
Experience in the application of staff rules and regulations within the UN common system or similar international organization is desirable
Experience with recruitment platforms, such as Inspira is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.
