We’re looking for a friendly, self-motivated, organised Administration Coordinator to provide timely and high-quality administrative support to our central Australian Services business functions. Your attention to detail, computer literacy, and great interpersonal skills will ensure that our teams can continue working effectively to make the world a better place for children.

Where you come in:
In this full time, permanent role, you will report to the Executive Assistant (to the Executive Director of Australian Services), providing administrative support to our central business functions, including training and event coordination, finance support, system support/administration, assistance with travel bookings, general administrative assistance and reporting for donor activities. You’ll be based ideally in Melbourne, Brisbane or Sydney, though other locations will be considered, and will work predominantly from home.

You will make an impact to by:
Managing strong working relationships and providing high quality administrative support
Providing comprehensive meeting support, including scheduling, organising agendas, taking minutes, through to ensuring meeting outcomes are actioned
Assisting with the generation and coordination of general reporting and Board and Executive reporting
Facilitating procurement and travel arrangements
Supporting new starter onboarding and inductions
Supporting finance and systems processes including data entry, managing purchase orders, invoicing and finance administration

Does this sound like you?

You’re a highly motivated, adaptable all-rounder, ideally with a background in providing administration support across teams, and you’re willing and able to learn new systems. Your organisational skills and your attention to detail will provide efficient and effective support to the team. You’re personable and friendly, happy to roll up the sleeves and help out, and you easily build strong positive relationships with stakeholders.

This role requires:
Advanced typing and computer literacy skills, including advanced skills in the Microsoft Office suite, spreadsheet management, databases and graphic software
Strong and concise written and verbal communication skills
Exceptional customer service skills, including the ability to manage a diverse range of internal and external stakeholders
Exceptional organisational and time management skills
Accurate and quality data entry and attention to detail
Ability to work under pressure, adapt to change and deliver to tight deadlines
The ability to work autonomously and under limited supervision, as it’s likely the role will be predominantly home-based

Having a certification in business or administration would be great, but if you don’t, we can help you to access appropriate training. Relevant experience will also be looked upon favourably.
